Privacy Policy

Last updated: May 2025

Vigil Parish Management ("Vigil," "we," "us," or "our") is a parish management software service operated by Vigil PMS LLC, a company based in North Carolina. This Privacy Policy describes how we collect, use, and protect your information when you use our service at vigilpms.com.

1Information We Collect

We collect information that parishes and their members provide directly through the platform:

  • Personal information: Names, email addresses, phone numbers, and mailing addresses
  • Membership data: Family relationships, membership status, clergy titles, and council roles
  • Sacramental records: Baptisms, weddings, funerals, and related dates as entered by parish administrators
  • Donation information: Donation amounts, frequency, and pledge data (payment card details are handled by Stripe and are never stored on our servers)
  • Communications: Messages sent through the built-in messaging system, prayer requests, and announcements
  • Usage data: Basic information about how you interact with the service, including login timestamps and pages visited

2How We Use Your Information

Information collected through Vigil is used to:

  • Provide parish management functionality including member directories, scheduling, and communication tools
  • Facilitate parish communications such as announcements, messaging, and prayer request lists
  • Process donations and generate giving receipts through Stripe
  • Enable service scheduling and volunteer coordination
  • Generate reports for parish administration and diocese reporting
  • Maintain and improve the service

3Google Calendar Integration

Vigil offers optional integration with Google Calendar for scheduling purposes. When a user connects their Google Calendar, we access FreeBusy and calendar event data solely to coordinate service scheduling and volunteer availability. We do not store Google Calendar data beyond what is necessary to display scheduling information within the application. You can disconnect Google Calendar access at any time through your account settings.

4Payment Processing

All payment processing is handled by Stripe. When parishioners make donations through Vigil, their payment card information is collected and processed directly by Stripe. Vigil does not store, process, or have access to full credit card numbers. We retain only the transaction records necessary for donation tracking and receipt generation. Stripe's privacy policy governs the handling of payment information.

5Data Storage and Security

Your data is stored in Supabase, a cloud database platform with encryption at rest and in transit. We implement reasonable security measures to protect your information, including secure authentication, encrypted connections, and access controls.

6Multi-Tenant Data Isolation

Vigil is a multi-tenant application. Each parish's data is logically isolated from other parishes. Parish administrators can only access data belonging to their own parish. Parishioners can only access data they are authorized to view within their parish.

7Data Sharing

We do not sell, rent, or trade your personal information to third parties. We share data only in the following circumstances:

  • With Stripe for payment processing
  • With Google when you opt in to Google Calendar integration
  • With Supabase as our database hosting provider
  • As required by law in response to valid legal process

8Cookies

Vigil uses cookies solely for authentication and session management. We do not use advertising cookies, tracking pixels, or third-party analytics cookies.

9Data Deletion

If you wish to have your personal data deleted from Vigil, contact your parish administrator, who can remove your information from the system. Parish administrators may also contact us directly at dan@vigilpms.com to request deletion of their parish's entire account and associated data.

10Children's Privacy

Vigil is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. Parish directories may include children as part of family records entered by their parents or parish administrators.

11Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes by posting the updated policy on this page with a revised "Last updated" date.
